Role Overview
The Administrative Assistant within the Compliance Legal Group plays a vital role in delivering meticulous administrative support to attorneys and compliance staff. The position demands exceptional organizational abilities, keen detail orientation, prudent judgment, and the capacity to manage daily administrative functions with confidentiality and professionalism. Experience with calendar management, meeting and travel coordination, document handling, and expense processing is essential. This position suits a skilled administrative professional adept at multi-tasking and operating in deadline-driven scenarios, communicating effectively with legal personnel and adapting swiftly to changing priorities in a corporate setting.
Key Responsibilities
- Provide extensive administrative assistance to U.S.-based attorneys and compliance professionals.
- Oversee calendar management and coordinate scheduling for both virtual and face-to-face meetings across various time zones.
- Handle competing priorities across multiple senior attorneys and stakeholders to ensure smooth scheduling.
- Collaborate with other administrative teams company-wide for scheduling, logistics, and coverage support.
- Serve as initial contact point via phone and email for routine queries, maintaining professional communication standards.
- Coordinate support for technology platforms and system access, including meeting tools.
- Arrange business trips and accommodations; process expense reports adhering to company policies.
- Manage invoices from external counsel, consultants, and vendors, ensuring accuracy and resolving discrepancies.
- Organize and maintain digital document filing systems conforming to confidentiality and record-retention guidelines.
- Assist with compliance-related operations such as training coordination, deadline tracking, reporting, and audit support.
- Lead special projects and ad hoc initiatives within the compliance function as assigned.
Required Qualifications and Skills
- Minimum of one year in administrative or comparable professional roles.
- Bachelor’s degree is required.
- Proficiency in Microsoft 365 suite including Outlook, Word, PowerPoint, Excel, Teams, CoPilot, and SharePoint.
- Strong work ethic with ability to effectively juggle multiple deadlines and tasks.
- Exceptional organizational skills and meticulous attention to detail.
- Excellent verbal and written communication combined with strong interpersonal capabilities.
- Proven ability to manage assignments independently from start to finish.
- Sound judgment, confidentiality, and discretion in handling sensitive matters.
- Demonstrated ability to work both independently and collaboratively in dynamic environments.
- Previous experience in Legal, Compliance or related support roles is preferred.
Additional Information
The position requires at least four days per week presence in the New York, NY office with a hybrid work model, noting the company’s right to amend office attendance requirements. Benefits include medical, dental, vision insurance, 401(k), paid leave, tuition reimbursement, and various other employee discounts and perks. The salary range for this role is $47,500 to $60,000 per annum.
