Role Summary
Based in Qatar with support for KSA operations, this full-time role requires a highly organized Administrative Assistant to aid regional commercial and operational departments. The position involves preparing and coordinating proposal documents for projects throughout the region, particularly bid and tender activities.
Key Responsibilities
- Offer administrative support to regional commercial and operational teams.
- Assist in preparing, formatting, and submitting bidding and tender documentation.
- Manage collection and organization of all required proposal and tender documents.
- Maintain document control systems, filing, and commercial records efficiently.
- Prepare reports, presentations, and correspondence in both Arabic and English as needed.
- Arrange meetings, calendars, and travel plans for team members.
- Communicate and coordinate with internal departments and external parties to ensure timely delivery of documents.
- Conduct general office administration and other assigned tasks.
Qualifications and Skills
- Diploma or Bachelor's degree in Business Administration or a related field.
- At least two years of experience in administrative roles.
- Experience supporting bids, tenders, proposals, or commercial teams is strongly preferred.
- Understanding of tender documents, RFP and RFQ procedures, and document control systems is advantageous.
- Fluent oral and written communication skills in Arabic and English.
- Excellent organizational abilities and communication skills.
- Proficient in Microsoft Office suite.
- Capable of handling multiple priorities with great accuracy and maintaining confidentiality.
