Role Overview

The Student Success Program Manager will initially cover instructor-facing logistics for certificate programs involving 90+ instructors, ensuring smooth operations during a team member’s planned leave. Following this, the role will transition to managing a coaching program that guides students post-certification toward career success through a network of 1099 coaches.

This full-time, fully remote position reports to the Manager of Instructional Quality & Operations and requires navigating complex operations with agility and empathy toward student outcomes.

Primary Responsibilities

Phase 1: Cohort Logistics (First 6–8 weeks)

  • Manage instructor schedules across 90+ educators and multiple certificate programs to guarantee appropriate coverage.
  • Coordinate substitute instructors timely to maintain uninterrupted cohorts.
  • Manage the end-to-end invoice process for instructors, ensuring accuracy and timeliness.
  • Prepare and configure each cohort for seamless program launches.
  • Act as the main operational contact for instructors, promptly resolving scheduling and logistical issues.

Phase 2: Student Coach Program Management

  • Oversee and support a network of independent coaches providing frontline student assistance.
  • Lead onboarding processes and continually enhance coaching practices to reflect Stepful’s supportive culture.
  • Conduct weekly one-on-one meetings with coaches to review caseloads, feedback, and professional growth.
  • Evaluate coaching performance and guide coaches toward maximizing student support.
  • Monitor progress metrics including retention, graduation, certification, externship, and job placement rates at student and cohort levels.
  • Facilitate regular task force meetings to review cohort progress and achieve success targets.
  • Maintain updated data and reports to aid client success operations.
  • Communicate student progress effectively with healthcare enterprise partners.

Qualifications

  • A minimum of 3 years’ experience in operations, program management, or workforce coordination roles.
  • Proven ability to manage scheduling for distributed teams such as instructors, contractors, or shift workers.
  • Proficient in building tools using Google Sheets and Airtable; familiarity with Claude CoWork is highly desirable.
  • Strong collaborative skills to work closely with supervisors during fast-paced coverage periods, including regular planning sessions.
