Role Summary
The Recruiting Coordinator acts as the operational backbone for the Talent Acquisition team, managing a seamless and efficient candidate experience. This role involves orchestrating end-to-end high-volume interview scheduling across multiple stakeholders and ensuring clarity and transparency throughout the hiring process. The coordinator also serves as a brand ambassador, providing guidance to candidates on GovTech's recruitment timelines and expectations.
Key Responsibilities
- Coordinate the full-cycle scheduling of numerous interviews across various business units and hiring teams, including virtual, in-person, panel, and assessment interviews.
- Serve as the primary liaison among candidates, recruiters, hiring managers, and interviewers, maintaining clear and prompt communication.
- Anticipate and resolve scheduling conflicts, last-minute changes, and resource constraints proactively.
- Manage interviewer availability and capacity, optimally assigning interviewers based on panel requirements, skills, and workload considerations.
- Collaborate with recruitment teams to ensure panels are properly staffed and calibrated, maintaining accurate interviewer rosters and scheduling guidelines.
- Track and analyze interview scheduling metrics, preparing reports and dashboards for multiple stakeholders to support recruitment forecasting and workforce planning.
- Identify and implement improvements to scheduling workflows and recruitment operations through standard operating procedures and technology enhancements.
Qualifications and Requirements
- Preferably holds a Bachelor's or Diploma degree in Human Resources, Business Administration, Operations, or a related discipline.
- Possesses between one to five years of experience in recruitment coordination, talent acquisition operations, or fast-paced administrative roles.
- Experienced in managing complex, high-volume interview scheduling across diverse stakeholders and platforms.
- Proficient with Applicant Tracking Systems, calendar management software, and productivity suites such as Google Workspace or Microsoft 365.
- Advanced skills in Microsoft Excel and familiarity with generating reports and dashboards.
- Highly organized with robust time management capabilities and a keen eye for detail to ensure data accuracy.
- Able to juggle multiple priorities and meet tight deadlines effectively.
