Overview
This job opening is exclusively for current Maryland State employees, including those with permanent, contractual, or temporary status. The position is "At Will," meaning it serves at the discretion of the appointing authority.
Applicants must thoroughly complete the application and answer all supplemental questions accurately and specifically as these responses determine eligibility for subsequent hiring stages.
Key Responsibilities
- Act as a direct aide and personal secretary to the State Fire Marshal, managing administrative support duties and serving as a liaison between the Fire Marshal and internal/external stakeholders.
- Convey administrative decisions and policies to staff, issuing orders with the Fire Marshal's authority.
- Engage with public and private executives, professionals, and officials to represent the Fire Marshal.
- Alleviate the Fire Marshal's workload by preparing correspondence, organizing data, and summarizing information clearly.
- Provide callers with information on laws, rules, and procedures related to the agency's operations.
- Maintain sensitive records, schedules, expense accounts, and office inventory.
- Proofread and approve outgoing communications and verify accuracy and completeness of records.
- Summarize reports and data to assist supervisor review.
- Supervise and mentor lower-level clerical staff.
- Support additional tasks assigned by the Fire Marshal.
Minimum Qualifications
- High school diploma or equivalent.
- At least six years of administrative or secretarial experience involving typing responsibilities.
- Up to four years of the required experience can be substituted by 30 credit hours of accredited college coursework per year.
Preferred Qualifications
- Proficiency with Windows-based operating systems, preferably Windows 10.
- Experience using Microsoft Office applications such as Word, Excel, and PowerPoint.
- Familiarity with Google Workspace tools like Docs, Sheets, and Slides.
- Skills in taking meeting minutes.
- Experience drafting and sending correspondence on behalf of executive-level leadership.
