Job description
Position Overview
We are seeking a seasoned Executive Assistant to deliver high-level assistance to our senior executive leadership and partners. This onsite role, based in Ottawa, suits a professional who values close interaction with executives and their teams. The successful candidate will demonstrate sound judgment, discretion, and confidence in managing priorities and complex demands to help ensure smooth day-to-day operations.
Key Responsibilities
- Provide thorough executive support to the Business Unit Leader / Senior Vice-President, including proactive management of calendars and priorities.
- Schedule and organize internal and external meetings, aligning schedules and preparing necessary materials.
- Handle administrative processes such as arranging travel, managing expenses, approvals, and CRM systems.
- Work closely with the Operations Director and Business Unit Planner to coordinate annual business planning activities and events.
- Approve timesheets and review expense reports for direct reports of the Business Unit Leader, ensuring adherence to company policies.
- Coordinate with internal admin teams and client executive assistants to organize meetings, visits, and business events.
- Provide executive-level administrative assistance to a Sector Vice President, including calendar management, expense and timesheet approvals, and facilitating team meetings.
Required Qualifications
- Associate’s degree in Business Administration, Communications, or a related discipline; bachelor’s degree preferred.
- At least 8 years’ experience in an executive support capacity.
- Proven history supporting C-level or senior executives.
- Exceptional verbal and written communication skills, with advanced expertise in writing, editing, and formatting executive presentations and correspondence.
- Strong skills in event planning and coordination.
- Highly intuitive, proactive, and self-motivated.
- Excellent listening skills with the ability to anticipate executive needs.
- Good judgment and decisiveness under pressure.
- Advanced analytical and prioritization abilities.
- Professionalism, diplomacy, and strong client-service orientation.
- Reliable, discreet, and punctual professional conduct.
Compensation
The estimated salary range for this position is between $60,000 and $110,000 yearly. This range considers experience, skills, location, and certifications. Compensation is determined case-by-case.
