Role Overview
The Executive Administrator provides advanced administrative support to executive and senior leadership. This role manages complex, sensitive, and time-critical work with a high degree of professionalism, discretion, and efficiency. The position also includes calendar management, correspondence, event coordination, travel planning, reporting support, and assistance with enterprise initiatives. Success in this role depends on strong relationship-building, sound judgment, initiative, and the ability to influence without formal authority in a dynamic, fast-paced setting.
Key Responsibilities
- Deliver tailored administrative support to one or more members of the Executive Leadership Team or Senior Leadership Team, handling both routine and complex matters promptly and professionally.
- Own calendar coordination, including invitations, conflict resolution, deadline tracking, and ensuring protected time for focused work.
- Organize meetings by scheduling attendees, managing responses, resolving scheduling clashes, preparing agendas, capturing minutes, and distributing follow-up notes.
- Coordinate corporate, industry, and internal events, including travel, room bookings, registrations, speaking commitments, and collaboration with internal or external partners.
- Track and submit expense reports on time and in line with accounting and billing rules and deadlines.
- Process invoices promptly and gather supporting information needed for approvals.
- Arrange and manage travel, including flights, hotels, local transportation, and dining reservations, while keeping preferences accessible.
- Create reports and presentations using standard templates, proofread all materials, and distribute them as requested.
- Handle incoming correspondence such as email, mail, and packages, route items to the correct people, and follow up when a response or action is needed.
- Support committees by attending meetings when required, documenting minutes, tracking actions, and maintaining correspondence and records.
- Assist with onboarding of a new leader in partnership with HR, including access requests, equipment, corporate card, facilities access, and first-week scheduling.
- Maintain strict confidentiality across emails, meetings, correspondence, and all other communications.
- Prioritize and triage email, voicemail, mail, and meetings so urgent matters are surfaced quickly and lower-priority items are delegated or handled efficiently.
- Communicate professionally with all levels of employees, business partners, subsidiaries, vendors, and consultants.
- Provide backup support for another executive assistant when needed, including absences, travel, or large project assignments.
- Identify process improvements, coordinate changes with management, and help measure outcomes.
- Complete any additional duties assigned.
Requirements
- Associate degree or five years of administrative or operational support experience for managers, directors, or executives is required.
- Bachelor’s degree is preferred.
- At least three years of experience as an executive assistant is required, or five or more years as an administrative assistant, or an equivalent combination of experience.
- Advanced proficiency in Microsoft Outlook, Excel, Word, and PowerPoint.
- Strong communication skills with the ability to understand and draft messages on behalf of leadership.
- Ability to work effectively with internal teams, vendors, and clients at all levels.
- Strong business writing ability with clear and effective written communication.
- Adaptability to shifting priorities and rapid task changes.
- Excellent organization and the ability to manage several priorities with urgency.
- Strong interpersonal skills and the ability to build trusted relationships with stakeholders.
- Capability to work with minimal guidance while producing accurate, high-quality output.
- Proven discretion with confidential information.
- Ability to handle competing demands and provide excellent client service and responsiveness.
- Comfort working in a high-pressure, fast-paced environment.
- Strong problem-solving ability with anticipation of issues based on prior experience.
- Ability to work independently and as part of a team.
- Availability to work after normal business hours when urgent matters arise.

Compensation
The pay range for this role is $67,700 to $86,300 per year. Actual compensation may vary based on experience and other legally permitted job-related factors.
