Job description
Overview
This permanent position based at Glanua's Regional Office in Ballincollig, County Cork, involves managing company and project documentation to ensure procedural compliance and efficient information flow throughout projects.
Key Responsibilities
- Manage organizational and project documents, maintaining rigorous control and adherence to company standards.
- Implement and enhance document control procedures and systems.
- Sort, store, and retrieve both electronic and physical documents for clients and industry stakeholders.
- Generate and present document progress reports to senior management.
- Conduct scheduled document audits and reviews to maintain quality and compliance.
- Organize and distribute documentation using digital tools, fostering efficient communication within the company.
- Support project planning stages by ensuring key documentation is shared timely to meet project deadlines.
- Collaborate with management and project teams to maintain compliance with BIM 360 Docs and SharePoint systems.
- Manage and monitor QA procedures related to document control to uphold corporate standards.
- Report instances of procedural non-compliance to project teams and facilitate upskilling on document management software.
- Maintain confidentiality of sensitive materials throughout all documentation processes.
Required Skills and Experience
- Minimum of five years' experience in documentation or information management, preferably within the construction sector.
- Experience with web-based and cloud document management systems, including BIM 360 Docs and SharePoint.
- Proven ability to implement and manage document control systems across business operations.
- Qualifications or prior experience in Information Management, Office Administration, or related areas are advantageous but not essential; training is available for suitable candidates.
