Role Overview
Apartment Company Group Construction, LLC is inviting a seasoned Construction Office Administrator with expertise in multifamily ground-up construction to join our team in Escondido, CA. This full-time, hands-on role is office-based and supports various multifamily construction projects throughout all phases from preconstruction to closeout. The successful candidate will excel in a dynamic environment, managing all facets of job site administration to ensure projects remain organized, compliant, and on track.
Primary Duties
- Oversee comprehensive management of all project documentation including filing, control, and distribution.
- Maintain project records in systems like Procore and Builder Trend, covering RFIs, submittals, drawings, meeting minutes, and closing documents.
- Collaborate closely with project managers, superintendents, subcontractors, architects, engineers, and property owners.
- Track critical documents such as contracts, insurance certificates, lien releases, permits, and compliance paperwork.
- Ensure jobsite safety by monitoring OSHA requirements and maintaining safety documentation.
- Assist with scheduling, procurement tracking, and material logistics.
- Generate reports, maintain logs, and prepare correspondence using Microsoft Excel, Word, and related tools.
- Provide support across the project lifecycle ensuring accuracy and organization from startup to closeout.
- Identify potential issues proactively and contribute to maintaining project timelines.
Qualifications & Experience
- Minimum of 5 years’ experience in multifamily construction administration, preferably including ground-up projects.
- Strong expertise in managing construction documentation and control systems.
- Familiarity with OSHA standards and construction compliance requirements.
- Proficiency in Procore, Builder Trend, Microsoft Excel, Word, Outlook, and Adobe Acrobat.
- Exceptional organizational, communication, and multitasking abilities.
- Self-driven, detail-oriented, reliable, and technologically adept.
Preferred Skills
- Experience supporting large-scale projects valued over $5 million.
- Capability to read and interpret construction drawings and specifications.
- Understanding of procurement processes, coordinating subcontractors, and project closeout procedures.
- Background in fast-paced commercial or multifamily construction environments.
