Role Overview

This position involves supporting the Waihi North Project through project coordination and administrative assistance, particularly related to procurement processes. Additionally, the role contributes to broader project delivery within OceanaGold.

Key Responsibilities

  • Generate and manage purchase orders adhering to contract agreements and resolve related issues promptly.
  • Maintain communication with suppliers to uphold company standards and correct accounting procedures.
  • Handle the onboarding of new vendors efficiently.
  • Review supplier invoices for accuracy against purchase orders and facilitate payment approvals.
  • Prepare monthly accounting reconciliations and accruals for review by the relevant Project Controls Manager.
  • Coordinate and prepare documentation supporting procurement and project control as requested by project managers.
  • Analyze data from design and procurement teams to compile cost and schedule reports for project groups.
  • Develop and sustain strong relationships with suppliers and customers.
  • Support local contract evaluation and execution.
  • Monitor contracts and purchase orders including amendments, extensions, and closure.
  • Communicate and present contract information to relevant stakeholders.
  • Facilitate seamless project communication among teams.
  • Provide additional assistance to Project Controls Manager, project managers, and leadership when necessary.

Qualifications and Experience

  • A qualification in Business Administration, Project Management, or a related field is preferred.
  • Possession of a current, full driver’s license; manual vehicle driving capability preferred.
  • Minimum of five years’ experience in project administration, ideally with exposure to design consultancy, engineering delivery, and resource consent processes.
  • Strong skills in coordination, communication, and computer use, with the ability to organize systems and processes effectively.
  • Experience using computerized purchasing systems, preferably Pronto, and structured inventory cataloguing is essential.
  • Capability to work collaboratively in a customer-focused environment.

  • Working hours are Monday to Friday, 7:30 AM to 5:00 PM.
