Job description
Position Overview
SMS Equipment is looking for a highly organized and detail-focused Administrative Assistant to deliver administrative support within the service functions at our Wabush, Newfoundland and Labrador branch. The role primarily involves assisting with payroll time entry, internal purchase orders, front desk reception, housing management, fleet coordination, training documentation tracking, and various other branch administrative tasks as needed.
Collaborating with branch teams, corporate payroll, vendors, clients, suppliers, and employees, you will ensure administrative workflows are executed accurately, promptly, and efficiently, aiding day-to-day office operations in a dynamic environment.
Location & Working Conditions
Worksite: Wabush, NL
Employment Type: Full-time, fixed on-site position
Work Hours: 7:00 AM to 3:30 PM
Salary Range: $50,000 to $60,000 annually plus allowances
Key Responsibilities
- Precisely review, code, and input hourly timecards, monitoring elements such as overtime, vacation, sick leave, and banked hours.
- Generate cutoff reports and assist with corporate payroll tasks.
- Process purchase orders by opening and recording receipts, support invoice follow-ups, and ensure correct approval procedures are maintained.
- Manage EZscan approvals and contribute to other administrative duties as assigned.
- Handle frontline communications by answering phones and managing visitor reception courteously and professionally.
- Replenish office essentials by ordering stationery, forms, and supplies.
- Maintain up-to-date records and trackers for housing, fleet management, and training activities supporting branch operations.
- Oversee coordination of janitorial services, rental arrangements, fleet maintenance appointments, and maintain inspection report documentation.
- Effectively prioritize daily workload within a fast-paced branch environment while ensuring accuracy and quality of service.
Candidate Profile and Qualifications
The ideal candidate is a reliable administrative professional with expertise in payroll assistance, purchase order management, reception duties, record maintenance, and overall branch office administration. Strong attention to detail, sound decision-making, and the ability to effectively prioritize while interacting professionally with both internal teams and external contacts are crucial.
Minimum Requirements
- Completion of Grade 12 education complemented by relevant training and experience in an industrial setting.
- A minimum of two years’ experience providing payroll and administrative support within a busy office or branch environment.
Preferred Qualifications
- Familiarity with purchase order processing, invoice tracking, approval workflows, or use of ERP systems for administrative functions.
- Experience managing records related to housing, fleet, training, or operational tracking.
