Role Overview

This position combines front desk, office administration, executive assistance, and internal coordination responsibilities. The successful candidate will help keep two office locations running smoothly, support staff and visitors, and provide direct assistance to the Managing Director.

Front Desk and Reception

  • Welcome visitors professionally, guide them through the sign-in process, and handle reception flow.
  • Receive deliveries and direct guests to the appropriate contacts or areas.
  • Keep the reception space tidy, orderly, and presentable at all times.

Office Operations Across Two Locations

  • Support everyday office activities and general upkeep for both sites.
  • Monitor and restock pantry items, stationery, and office equipment.
  • Arrange logistics for meetings, staff meals, and internal events.
  • Coordinate with vendors for services, maintenance, and utilities.
  • Maintain basic housekeeping standards and process visitor pass requests.

Events and Staff Engagement

  • Assist with planning and operational arrangements for company-wide activities such as festive celebrations, D&D events, and quarterly gatherings.
  • Work closely with internal teams and external suppliers to ensure events run smoothly.

Compliance and Safety Support

  • Help keep office certifications and compliance items current, including Green Mark and fire safety equipment.
  • Support fire drill preparation and related procedures when needed.
  • Provide administrative help during audits and tender exercises.

HR and Onboarding Support

  • Prepare onboarding packs and materials for new employees.
  • Track inventory for office operations and onboarding requirements.

Executive and Ad Hoc Support

  • Serve as Executive Assistant to the Managing Director, including calendar coordination, travel arrangements, and general admin support.
