Renfrew Victoria Hospital (RVH) is a 55-bed fully accredited healthcare facility located 45 minutes west of Ottawa, serving a community of over 60,000. Role Overview

The hospital invites applications for a permanent, full-time Staffing Clerk position in the Nursing Administration Department. Reporting to the V.P. Clinical Programs and Ambulatory Care, this role ensures adequate staffing across nursing units by leveraging detailed knowledge of local union Collective Agreements. The position involves payroll input for nursing staff hours and close collaboration with Nurse Managers and Coordinators.

Key Responsibilities

  • Maintain comprehensive understanding of union contracts and communicate relevant clauses to new nursing managers.
  • Consult on staffing-related issues and handle sick leaves, compassionate leaves, and personal leaves in compliance with union agreements.
  • Arrange transportation escorts for patients requiring ambulance or other transit for tests and appointments.
  • Coordinate emergency staffing coverage during unexpected absences.
  • Manage and update on-call lists, contact details, and shift availability records for unionized nursing staff.
  • Support collective bargaining processes by providing input for CUPE and ONA local negotiations and attending negotiation meetings when requested.
  • Notify Human Resources of nursing staff lacking current C.O.N. registrations to ensure compliance.
  • Track overtime and ambulance transport slips to maintain accurate records.
  • Collaborate with Human Resources and Occupational Health Nursing staff to address staffing challenges.
  • Provide staffing reports to evening coordinators and assist in reallocating qualified personnel to areas in need.
  • Respond to telephone inquiries for the Nursing and other administrative offices as required.
  • Process weekly payroll entries for nursing staff and maintain filing of payroll documentation.
  • Engage regularly with the V.P. Clinical Programs and Ambulatory Care to discuss staffing concerns and potential solutions.
  • Undertake additional duties as assigned.

Qualifications

  • Completion of an accredited Office Administration program or related educational course.
  • Minimum five years' experience in staffing, scheduling, or payroll functions, preferably within a hospital and unionized environment.
  • Proficiency with computer applications such as Microsoft Word, Excel, Outlook, and scheduling software.
  • Ability to interpret union Collective Agreements, specifically ONA and CUPE.
  • Strong verbal and written communication capabilities coupled with interpersonal skills.
  • Exceptional organizational aptitude and ability to manage multiple competing priorities in a fast-paced setting.
  • Self-directed with sound judgment skills, including problem solving and decision making.

This vacancy arises from an upcoming retirement. Work shifts may be adjusted at the employer's discretion.
