Role Overview
The Receptionist at Indigo Ink Interiors is a full-time, remote position tasked with overseeing daily front-office communications and providing administrative assistance. Core responsibilities include managing incoming and outgoing phone calls, handling email correspondence, greeting and supporting clients virtually, and maintaining a professional, welcoming first point of contact. Additionally, this role involves scheduling appointments, coordinating virtual meetings, managing calendars, and aiding project teams with clerical duties such as document organization, data entry, and file upkeep. The Receptionist also addresses basic service inquiries, performs timely follow-ups, and collaborates with colleagues to ensure smooth operations and a positive client experience.
Qualifications and Skills
- Demonstrated ability in professional phone etiquette managing inbound and outbound calls
- Experience in essential receptionist tasks including scheduling, calendar coordination, and client query management
- Proficient clerical skills encompassing data input, document filing, email handling, and usage of common office software
- Exceptional written and verbal communication skills for respectful and clear interactions with clients and staff
- Strong customer service orientation with the capability to swiftly address requests and resolve issues
- Ability to work effectively in a remote setting with dependable internet, excellent time management, and organizational capabilities
- Familiarity with digital collaboration tools such as video conferencing, shared calendars, and project management platforms is advantageous
- Previous experience as a receptionist or in administrative support is required; background in design or creative industries is a positive addition
