Role Overview
The Production Department Secretary serves as the central communications coordinator for television series productions. Key responsibilities include managing scheduling for the show's leadership and crew, handling travel and expense reports, organizing the show's credits, collaborating with the script department, arranging crew activities, and managing supplies procurement.
Main Responsibilities
- Schedule and coordinate meetings for Executive Producers, Producers, and Line Producers.
- Maintain and update the production calendar to reflect key deadlines and events.
- Manage communications for Executive Producers, including handling messages and email inquiries.
- Complete travel authorizations and arrange travel logistics for production staff, both domestically and internationally.
- Order supplies for crew and production through SAP E-Source and approved vendors.
- Boost crew morale by planning and organizing team-building events, including potlucks and birthday celebrations.
- Serve as liaison for facilities, coordinating with operations for crew requirements.
- Perform administrative tasks such as filing, photocopying, and distributing materials as needed.
- Compile, verify accuracy, and distribute show credits appropriately.
- Prepare expense reports compliant with DTVA procedures.
- Collaborate with Script Coordinators to post record memos and submit music lyrics for legal and standards approval.
- Facilitate script distribution throughout all production stages alongside script department members.
- Coordinate with the Casting Department to ensure relevant materials are available at recording sessions under Producer or Script Coordinator guidance.
- Perform additional duties as assigned by Line Producers or Executives.
Required Skills and Qualifications
- Capability to manage multiple simultaneous tasks efficiently within a fast-paced production environment.
- A positive, adaptable approach and flexibility in working style.
- Strong organizational skills paired with excellent verbal, written, and interpersonal communication abilities.
- Proficiency with Mac and PC platforms.
- Advanced knowledge of Microsoft Office Suite, including Excel, Word, Outlook, and PowerPoint.
- Experience with Canva, Final Draft, Adobe Acrobat Pro, Adobe Photoshop, and Airtable.
- Familiarity with enterprise tools like SAP and Concur for procurement and expense management.
Additional Information
This position requires full onsite presence at our Glendale, California studio. Compensation is offered at $25.01 per hour. Selected benefits may accompany this role and can include medical coverage and financial services, contingent on the position grade.
