Job description
Role Overview
The Procurement Executive will oversee daily procurement operations, ensuring timely, cost-effective procurement of materials, equipment, and services aligned with business needs. This role collaborates closely with various teams to manage purchasing requests, maintain supplier relations, and uphold compliance with all company policies.
Key Duties
- Identify procurement requirements and devise sourcing strategies consistent with organizational goals.
- Organize and release RFQs, RFPs, and RFIs; analyze supplier bids and proposals.
- Negotiate contracts and prices with vendors to optimize cost savings and value.
- Manage purchase orders end-to-end—from request through delivery.
- Cultivate and sustain strong vendor and supplier partnerships.
- Track supplier performance metrics and ensure compliance with agreed KPIs and SLAs.
- Maintain comprehensive procurement records, contracts, and supplier databases within the Odoo ERP system.
- Ensure all procurement activities adhere to corporate policies, budgets, and regulatory requirements.
- Conduct market research to keep abreast of industry trends, pricing fluctuations, and emerging suppliers.
- Coordinate procurement efforts with finance, operations, R&D, and other internal departments to meet business demands.
- Generate procurement-related reports including cost analyses and spending summaries for leadership review.
- Address supply chain challenges such as order delays, quality issues, and contractual disagreements.
- Perform inventory evaluations including stock levels, safety stock, reorder thresholds, and Economic Order Quantity (EOQ).
- Calculate and update the Total Cost of Ownership (TCO) for SKUs, ensuring accurate ERP data management.
- Work in tandem with logistics and warehouse teams to ensure prompt shipments and accurate inventory records.
- Submit weekly procurement reports to the head of supply chain.
- Maintain a Critical Supplier and Item Matrix to monitor procurement risks and supplier performance.
- Keep procurement status updated across all documentation for precise and timely reporting.
Required Expertise
- Proficient negotiation and supplier management abilities.
- Knowledge of manufacturing processes, Bills of Materials (BOM), and production planning.
- Experienced with ERP systems, specifically Odoo.
- Advanced Microsoft Excel skills including data analytics, reporting, dashboards, PivotTables, and complex formulas.
- Strong analytical capability for cost assessments, TCO calculations, and spend management.
- Understanding of quality standards such as ISO; familiarity with Six Sigma and Lean methodologies is advantageous.
- Exceptional organizational skills managing multiple SKUs and suppliers.
- Problem-solving approach for overcoming supply chain disruptions.
Experience and Qualifications
- Between 5 to 7 years in procurement, purchasing, or supply chain coordination.
- Preferably experience in manufacturing environments, aerospace, or industrial projects.
- Hands-on experience with Odoo ERP and procurement software platforms.
- Bachelor's degree in Engineering, Supply Chain Management, Industrial Management, or related disciplines.
- Knowledge of lean manufacturing and Just-In-Time (JIT) principles is a plus.
- Professional certifications such as CIPS, CPSM, or APICS/CPIM are beneficial.
Key Performance Indicators (KPIs)
- Cost savings as a percentage relative to budget or past pricing.
- Total Cost of Ownership (TCO) per SKU or category considering the entire lifecycle.
- On-Time Delivery rate reflecting percentage of orders met within agreed timelines.
- Supplier diversification shown through the number of approved/qualified suppliers.
- Supplier compliance rate measuring adherence to contract terms and SLAs.
- Efficiency metrics including PO cycle times and RFQ-to-PO conversion durations.
- Purchase order accuracy rate indicating error-free processing.
- Purchase order volume as a productivity indicator.
- Inventory turnover ratio assessing stock usage and replenishment efficiency.
- Stockout frequency impacting operational continuity.
Reporting Structure
This position reports directly to the Procurement Manager and functionally to the Head of Supply Chain.
