Overview
This full-time role based in Waukesha, WI, is focused on managing the documentation component of the mortgage loan origination process. The position entails ensuring that all loan paperwork is accurately prepared, sent, signed, and collected following regulatory and company standards to support smooth mortgage transactions.
Working Hours
The position requires working Monday to Friday from 8:15 AM to 5:00 PM, amounting to approximately 38-40 hours per week.
Key Responsibilities
- Evaluate and handle new loan files entered into the Loan Origination System (LOS) for disclosure processing.
- Prepare and administer closing disclosures and final loan documents to promote excellent customer satisfaction.
- Track alerts within the LOS to confirm timely completion of initial, change of circumstance, and closing disclosures.
- Maintain up-to-date knowledge of government mortgage compliance laws and regulations.
- Effectively manage and oversee the loan pipeline to meet all deadlines and regulatory requirements.
- Draft disclosures and loan documentation aligned with investor and regulatory guidelines.
- Work collaboratively with lenders, processors, and vendors to ensure a positive customer experience.
- Adhere strictly to company policies and all relevant legal requirements.
- Stay informed about financial markets, retail lending guidelines, overlays for conforming and non-agency loans, and federal compliance timing through resources like AllRegs.
- Process secondary market lock requests and communicate lock policies to appropriate sales and operations teams.
- Support product and pricing structure initiatives.
- Exercise innovative thinking and take a broad perspective to enhance procedures.
- Perform additional duties as assigned.
Qualifications and Experience
- High school diploma or an equivalent certification is mandatory.
- Between 1 to 3 years of mortgage processing or documentation experience.
- At least one year of hands-on experience with ICE Mortgage Technologies' Encompass software.
- Familiarity with pricing engine integrations, Mavent, and MERS systems.
- Strong communication skills, both verbal and written.
- Commitment to compliance with laws such as Anti-Money Laundering/Countering the Financing of Terrorism (AML/CFT Act) and requirements set forth by the Office of Foreign Assets Control.
- Ability to apply sound judgment, raise management concerns when necessary, and adhere to policy guidelines to minimize risk.
