Role Overview
The Logistics Manager plays a pivotal role in moving products efficiently from suppliers to customers while ensuring accurate documentation at each step. Responsibilities include generating purchase orders, coordinating container bookings, overseeing customs clearance, managing warehouse relations, processing orders, invoicing clients, and providing prompt customer service. This position reports directly to the Vice President of Finance and acts as the primary operational liaison within the international supply chain.
Primary Responsibilities
- Create purchase orders aligned with demand plans, manage new item setups, arrange container shipments, and keep suppliers updated on order status, pricing, and product availability.
- Oversee inbound logistics by monitoring containers end-to-end, ensuring timely paperwork submission to avoid port/storage fees, approving customs documents, and coordinating clearance with brokers.
- Calculate landed costs by compiling invoices from customs, ocean freight, warehouse, and trucking, updating ERP systems for accurate margin tracking.
- Maintain strong working relationships with public warehouse partners; conduct monthly reconciliations, lead annual physical inventory counts, publish weekly inventory reports, and manage slow-moving stock through discounts or disposals.
- Handle order processing and invoicing for multiple sales channels, manage bailment documentation, approve various freight invoices, and file claims for damaged or lost cargo.
- Deliver excellent customer service by promptly resolving inquiries and shipping issues and maintaining detailed product and customer records.
- Provide compliance data accurately and timely for beverage tax reporting, negotiate freight and warehouse contracts, and monitor logistics key performance indicators such as delivery times, service levels, and cost efficiencies.
Key Tasks
- Coordinate extensively with global import partners regarding procurement and logistics.
- Manage purchase orders, container bookings, scheduling, and ERP updates.
- Communicate container arrival details to warehouses ahead of receipt.
- Review and approve customs duty documents for accuracy.
- Track customs clearance, bond releases, and shipment arrivals in collaboration with brokers.
- Negotiate competitive freight and warehouse pricing agreements.
- Execute monthly warehouse reconciliations and lead annual physical inventories.
- Process invoicing across channels including open, control, and Armed Forces, and manage direct import shipments.
- Authorize payment of warehouse, ocean freight, and drayage bills.
- File claims regarding freight damage or loss and resolve related customer shipping issues.
- Support Sales and Accounting departments with inventory, pricing, and payment data.
- Input beverage tax and compliance gallonage data in accordance with regulatory schedules.
- Contribute data for monthly Sales and Operations Planning (S&OP) meetings.
- Identify opportunities for cost savings and process improvements, including optimizing truck routes and reporting on logistics KPIs.
Candidate Profile
- Highly detail-oriented with an ability to spot and correct issues before they escalate, especially to avoid demurrage fees.
- A proactive operator who manages exceptions independently and ensures timely closure of tasks.
- Skilled negotiator who views freight and warehouse pricing as margin enhancement opportunities.
- Customer-centric, taking ownership of problems from start to finish.
- Exceptional organizational skills, capable of handling multiple shipments, invoices, and claims simultaneously without errors.
Qualifications
- Minimum of three years experience in logistics, import operations, or supply chain execution.
- Proficient knowledge of ocean freight, customs clearance processes, and documentation requirements.
- Experience with order entry, invoicing, and third-party warehouse management.
- Advanced skills in Microsoft Excel and familiarity with ERP systems.
- Bachelor's degree or equivalent practical experience.
Preferred Experience
- Background in beverage alcohol imports, including bailment and control state order processing.
- Knowledge of TTB and state excise tax reporting, including CBMA data handling.
- Experience with landed cost modeling.
Compensation and Benefits
The salary range is expected between 75000 and 80000 annually, depending on experience, plus a target bonus of 10% per year.
