Export Documentation Coordinator

About the role

Silver Fern Farms is seeking an experienced Export Documentation Coordinator to join the Christchurch logistics function. This is a permanent full-time position where you will help ensure products are exported efficiently by preparing precise shipping and customs paperwork and by meeting customer, regulatory, and destination-market requirements. The role covers a specific export market and involves regular coordination with NZ Customs, MPI, shipping providers, and internal teams to keep exports compliant and on schedule.

Key responsibilities

• Submit export entries and lodge documentation with NZ Customs within the required deadlines.
• Draft, check, and finalise export paperwork so it aligns with customer expectations, MPI rules, Customs requirements, and the destination country’s regulations.
• Prepare shipping instructions and work with shipping lines to meet vessel cut-off times.
• Set up and manage health certificates and other export certification needs.
• Upload, verify, and maintain documents in the relevant systems, including Prodoc.
• Coordinate closely with internal and external contacts so deadlines are met and shipments can proceed without delay.

What you will bring

• Previous experience in export documentation, export operations, freight forwarding, shipping, or a closely related export role.
• A current New Zealand Customs PIN and hands-on experience lodging export entries, which are essential.
• Strong accuracy, excellent organisation, and the ability to juggle several priorities and deadlines at once.
• Confidence in building productive working relationships and collaborating across teams and with external stakeholders.
• Good Microsoft Office capability, along with a proactive mindset for solving problems and improving processes.
• Experience in meat, food manufacturing, or primary industries is helpful but not required.
