Position Overview
This role is distinct from a traditional Executive Assistant position. As the trusted partner to the CEO, you will drive leverage across the company by overseeing priorities, coordinating strategic projects, managing executive communications, and ensuring the progress of key commitments and initiatives. Success depends on a proactive, highly organized individual who anticipates needs, initiates efficiency improvements, and resolves potential issues before they arise, enabling the CEO to focus on leadership and growth.
Key Responsibilities
- Manage and proactively organize the CEO's calendar, balancing strategic meetings with focused work time while resolving scheduling conflicts in advance.
- Arrange meetings, travel plans, and logistical schedules efficiently.
- Handle incoming communications by prioritizing and drafting professional emails, presentations, and correspondence on behalf of the CEO.
- Prepare meeting agendas, briefing documents, and attend sessions to document notes, decisions, and actions.
- Track project deliverables and ensure stakeholders follow through on commitments.
- Organize domestic and international travel, including itineraries, accommodation, transportation, and managing changes with minimal disruption.
- Coordinate recurring executive activities such as leadership meetings, planning, and board preparations, maintaining organized documentation and enhancing executive workflows.
- Manage relationships by coordinating communications and meetings with board members, investors, clients, partners, and senior leadership, maintaining professionalism and follow-up.
Candidate Profile
- Minimum of 5 years supporting senior executives or C-suite leaders with exceptional organizational, communication, and problem-solving skills.
- Capable of handling multiple priorities accurately with keen attention to detail.
- Demonstrates high professionalism, discretion, and integrity.
- Skilled in project coordination and follow-through.
- Proficient with Microsoft Office, Google Workspace, and current productivity software.
- Experience in a dynamic, high-growth corporate environment is advantageous.
- Self-driven, calm under pressure, adaptable, and able to make independent sound decisions.
- Passionate about facilitating executive effectiveness and trusted as a strong communicator across organizational levels.
Success Goals in the Role
Within the first year, the successful candidate will have established an efficient executive operating rhythm, optimized scheduling, travel, and meeting preparations, improved follow-up on strategic initiatives, reinforced executive communications, and become a reliable partner to enable the CEO's leadership and organizational growth.
