Role Overview
The Executive Assistant to the Chief Operating Officer (COO) plays a critical role in supporting the COO by managing administrative and operational tasks effectively, allowing strategic focus on essential business goals. This position demands superior organizational capabilities, meticulous attention to detail, and proactive management of the COO's daily agenda and communications.
Key Responsibilities
- Manage and prioritize the COO’s calendar by scheduling meetings, travel, and appointments while resolving scheduling conflicts to ensure punctuality for all engagements.
- Act as the key communication link for internal and external stakeholders, screening calls, handling correspondence, and professionally responding on behalf of the COO.
- Organize and facilitate meetings by preparing agendas, distributing necessary materials, and taking meeting minutes, to promote effective decision-making and follow-up.
- Maintain a structured document management system to secure and organize all pertinent files and records related to the COO’s activities.
- Conduct research and collect data to compile reports and presentations on market trends, performance indicators, and strategic initiatives for informed decision support.
- Support COO-led projects by monitoring progress, coordinating resources, and providing administrative assistance to ensure timely and goal-aligned completion.
- Build and nurture relationships with internal teams, partners, and stakeholders to enhance collaboration and communication across the organization.
- Handle administrative duties such as managing expense reports, processing invoices, and other operational tasks essential for optimizing COO productivity.
Candidate Profile
The ideal candidate holds a Bachelor’s degree in Business Administration, Management, or Hospitality and has 2 to 4 years’ experience in an Executive Assistant or comparable role. Reporting to the COO, this role requires a high level of discretion, adaptability, and interpersonal skills to contribute effectively within the company.
