Role Overview

We are looking for a highly organized and proactive Executive Assistant to support our Chief Customer Officer within the Customer business unit. You will manage a demanding and dynamic workload, working closely with an enterprise-wide network and leading a small team of coordinators. Your role is critical in ensuring seamless executive functioning through comprehensive diary, travel, and stakeholder management.

Key Responsibilities

  • Effectively manage the Executive’s calendar by screening, prioritizing, and coordinating appointments and meetings, adopting proactive scheduling practices with minimal supervision.
  • Oversee complete travel arrangements including flight and hotel bookings, visa processing, directions, commuting times, and ground transportation with high attention to detail.
  • Supervise and mentor three Customer Team Coordinators and one remote Site Operations Coordinator, fostering their professional development.
  • Engage in the Community of Practice for Executive and Team Assistants, providing support during absences and leave coverage.
  • Prepare critical documents for Executive Leadership Team and Board meetings, track follow-ups on action items while maintaining strict confidentiality.
  • Manage financial processes including creation of purchase requisitions and routine invoice reconciliation.
  • Handle sensitive issue escalation and approval management aligned with Executive expectations, alerting on pending matters.
  • Organize various functional forums end-to-end, including agenda preparation, invitations, minute-taking, and action tracking.
  • Plan and coordinate offsites, team events, and other initiatives to promote team engagement.
