This role offers a unique chance to support a senior Managing Director involved in launching operations worldwide, gaining experience in international markets, licensing, and strategic business partnerships.
Role Overview
This position transcends a typical Executive Assistant role, combining elements of Chief of Staff and project management. You will assist the Managing Director in strategic matters, attend executive meetings, manage international initiatives, and ensure follow-through on key priorities. The role includes relocation to Europe within 3 to 5 years as part of a long-term collaboration.
Key Responsibilities
- Oversee the Managing Director's calendar aligning with strategic business goals.
- Manage communications and prioritize requests efficiently.
- Organize complex global travel plans including visas and last-minute changes.
- Handle expense reporting and executive administrative tasks.
- Assist with select personal logistics to support executive productivity.
- Attend executive meetings, preparing briefing documents and documenting key decisions.
- Ensure completion of action items across departments and conduct follow-up debriefs.
- Lead weekly sessions to focus strategic initiatives and maintain executive priorities.
- Track multiple concurrent projects globally, monitoring timelines, risks, and dependencies.
- Produce executive status reports and updates.
- Perform in-depth market, regulatory, and partner research to inform decisions.
- Build executive presentations, reports, and strategic documents.
- Coordinate with legal and compliance teams ensuring regulatory submissions are on track.
- Collaborate with cross-functional teams including legal, finance, marketing, technology, government agencies, and partners.
- Implement productivity improvements using AI tools and automate administrative workflows.
Qualifications
- Minimum four years' experience supporting senior executives in dynamic environments.
- Excellent organizational skills with ability to juggle long-term projects.
- Strong analytical, research capabilities, and problem-solving skills.
- Advanced proficiency in PowerPoint, Excel, and presentation software.
- Experience with contemporary AI productivity applications.
- Exceptional written and oral communication with keen attention to detail.
- Adaptability to fast-changing and ambiguous situations.
- Good judgment and confidence to prioritize or challenge tasks.
- High professionalism, integrity, and discretion.
- Ability to work independently managing multiple priorities.
- Availability to support operations across various time zones.
- Willingness and ability to relocate to Europe within 3–5 years.
- Successful background check and confidentiality adherence.
Preferred Experience
- Background in government relations, public or regulatory affairs.
- Experience in investment banking, private equity, capital markets, or corporate law.
- Knowledge of pharmaceutical, cannabis, beverage industries, or high-growth tech firms.
- Exposure to international business development, luxury brands, live events, or logistics.
- Proficiency or willingness to learn Spanish (language training offered).
- Experience supporting executives across multiple countries and managing personal executive matters.
Total Rewards and Additional Information
- Competitive base salary range: $90,000 to $115,000 CAD with annual reviews.
- Performance bonus potential up to 50%, averaging 80% achievement.
