As the business expands across the Waikato region and its franchise network, the company is seeking an experienced Executive Assistant to partner closely with the Managing Director.

This is a high-responsibility position for someone who enjoys a varied workload, brings structure to a fast-moving environment, and takes pride in keeping priorities on track. The role supports both Urban Homes Waikato and Urban Homes Franchisor, connecting the Managing Director with the senior leadership team, franchisees and outside stakeholders.

The job goes well beyond general administration. You will act as the Managing Director’s operational support, helping manage priorities, ensuring actions are followed through, and contributing to a consistently high standard of business operation.

Each day may look different. You could be preparing board materials or organising a leadership meeting one day, then helping with franchise communications, reviewing a business process, or keeping a marketing activity aligned the next. Key responsibilities

  • Handle the Managing Director’s inbox, diary and day-to-day priorities proactively.
  • Foresee upcoming needs and make sure the MD is fully ready for meetings and important events.
  • Serve as the main communication link between the MD, leadership, employees, franchise partners and external contacts.
  • Support and coordinate company-wide projects and strategic initiatives.
  • Draft agendas, reports and board documentation.
  • Take accurate meeting notes and keep action items moving until completion.
  • Provide prompt, professional assistance to Urban Homes Franchisor and its network.
  • Coordinate marketing efforts between Urban Homes, franchisees and the external marketing agency.
  • Assess systems, processes and workflows and suggest ways to improve efficiency.
  • Arrange leadership meetings, conferences, training events and company functions.
