Job description
Role Overview
We are seeking a dedicated Document Controller to join our team in Loughrea, County Galway on a permanent basis. This role involves managing company and project documentation to ensure compliance with required standards and facilitate efficient workflows.
Key Responsibilities
- Oversee control of both electronic and physical documents for client projects and the company.
- Adhere to and improve existing document control procedures ensuring all documentation meets formal and quality standards.
- Sort, store, retrieve, and distribute documents to relevant stakeholders efficiently.
- Generate progress reports on document control for senior management review.
- Conduct periodic document audits and reviews to verify compliance.
- Collaborate in project planning stages by ensuring key documentation is shared on time to support project timelines.
- Implement updates to the document management system across Glanua Ireland operations.
- Distribute incoming project documentation from external sources to appropriate team members.
- Work closely with management teams to uphold procedures on BIM 360 Docs and SharePoint platforms.
- Maintain audit trails for incoming and outgoing documentation, ensuring full traceability.
- Manage quality assurance processes aligned with Glanua company protocols.
- Report any non-compliance issues to the project teams promptly.
- Provide training and support to project personnel to improve proficiency in BIM 360 document management.
- Liaise with Digital Leads, BIM Coordinators, Design Managers, Project Managers, and site teams on documentation submissions.
- Prepare succinct status reports to summarize project progress related to documentation.
- Ensure timely and precise distribution of information to meet construction schedules and client expectations.
- Maintain strict confidentiality regarding sensitive documents.
Required Qualifications and Experience
- At least 5 years of experience in document or information management, preferably within the construction sector.
- Experience with implementing or using web-based document management systems, ideally cloud-based platforms.
- Professional background in Information Management, Office Administration, or a related field is advantageous but not mandatory; appropriate training will be provided.
