Job Responsibilities
- Coordinate scheduling of appointments and distribute scheduling links as assigned.
- Attend meetings and prepare precise minutes when required.
- Assist in compiling company reports and input data for various programs.
- Collaborate with external organizations to obtain scheduling-related information.
- Maintain organized and electronic filing systems.
- Upload and manage documents within electronic health records (EHR).
- Manage follow-up appointments via One Drive.
- Engage with clients to support company initiatives.
- Communicate with customers via EHR, telephone, or email.
- Send appointment reminders and ensure laboratory results are updated before appointments.
- Reschedule appointments for no-shows as necessary.
- Support the VP of Clinical Operations on assigned projects.
- Coordinate communications with law enforcement personnel to support company initiatives.
- Create and maintain accurate spreadsheets using Google Drive or One Drive.
- Respond promptly to email inquiries and answer incoming calls to assist customers.
Qualifications
Required:
- Experience in administrative assistance, office management, or scheduling within a clinical environment.
- Proficiency in communication platforms such as Zoom and Google Meets.
- Strong skills with Google Suite and Microsoft Office applications including email, docs, and sheets.
- Excellent organizational abilities with strong time management and prioritization skills.
- Knowledge of HIPAA regulations and compliance.
- Access to high-speed internet.
- Outstanding written and verbal communication skills accompanied by a friendly and approachable attitude.
Preferred:
- High school diploma or GED required; an Associate's degree or administrative training is advantageous.
