Job Summary
The Central Scheduler manages and coordinates patient bookings for a range of healthcare services, including diagnostic testing, procedures, consultations, and follow-up visits. The role focuses on keeping schedules accurate and efficient while balancing provider availability, patient requirements, and facility capacity. It also involves regular interaction with patients, clinicians, and other departments to support smooth daily operations and a positive scheduling experience.
Key Responsibilities
- Arrange appointments across multiple departments for diagnostic services, procedures, and specialist visits.
- Build schedules that reflect provider availability, patient needs, clinical priority, and efficient use of resources.
- Enter patient and appointment details correctly into the hospital scheduling platform or EMR system.
- Coordinate with physicians, nurses, and other clinical teams so appointments match medical requirements and priorities.
- Complete pre-registration for booked patients and share accurate preparation instructions for tests and procedures.
- Check that Medicare test orders meet medical necessity rules and comply with payer guidelines.
- Guide uninsured and underinsured patients toward financial assistance options when appropriate.
- Review personal and insurance details for pre-certification requests, including CPT and ICD coding, and gather clinical information from physicians when needed.
- Contact insurance carriers to obtain prior authorizations and record all pre-certification activity in tracking tools and SOAP notes when required.
- Take on additional assigned duties as needed.
- Maintain dependable, regular attendance.
- Follow all organizational policies, procedures, and standards.
Qualifications
- Training or certification in Healthcare Administration, Medical Office Management, or a closely related field is preferred.
- 0 to 1 year of experience in scheduling, administrative support, or customer service, ideally in a healthcare environment, is required.
- 1 to 2 years of experience using EMR systems or scheduling software is preferred.
Skills and Abilities
- Ability to work independently with limited oversight.
- Strong organizational ability and close attention to detail.
- Capability to manage several priorities and set tasks in the right order.
- Comfort handling a high number of scheduling requests in a busy setting.
- Clear verbal and written communication.
- Working knowledge of Microsoft Word, Excel, Outlook, and scheduling/EMR tools.
- Basic understanding of medical terminology is an advantage.
Work Schedule
This is a full-time position with hours from 8:00 AM to 4:30 PM.
