Role Overview

An opportunity exists at the ICRC Delegation in Maputo for an Assistant and Information Management Officer. This role entails managing information processes within the delegation and delivering expert support in sustaining a strategic network of contacts with delegation leadership. The individual serves as a key reference for all information management products, protocols, correspondence, and standardized tools.

Key Responsibilities

  • Ensure adherence to the information management framework and procedures at the delegation.
  • Provide advanced networking assistance and maintain contacts to support the management team.
  • Participate in the execution of all projects and programs related to information management within Maputo and its sub-sites.
  • Assist the Information Management Regional Coordinator in managing projects and specific files as requested and supervised.
  • Maintain and update general information stored in reference tools and databases.
  • Oversee and track usage of collaborative tools and databases.
  • Prepare and finalize technical summaries and routine reports.
  • Conduct onboarding briefings on information management for new team members and organize regular training and informational sessions related to IM tools, products, and frameworks.
  • Enforce compliance with established IM rules and procedures among staff.
  • Engage in discussions regarding emerging information management practices and contribute to the development of new IM projects and tools as requested by the Regional Coordinator.
  • Provide technical mentorship to Information Management focal points at Maputo and sub-sites.
  • Offer technical support and guidance to delegation staff based on information management needs.
  • Willingness and ability to travel within Mozambique, including to regions such as Cabo Delgado.

Candidate Profile and Experience Requirements

  • A university degree or higher qualification in International Relations, Economics, Information Management, Information Science, or related disciplines.
  • A minimum of 2 to 3 years’ relevant experience in information management combined with advanced administrative support within a diverse humanitarian environment.
  • Advanced proficiency in Microsoft Excel (including pivot tables and functions) and SharePoint, with competence in handling and analyzing varied datasets.
  • Capacity to translate planning specifications into clear technical briefs for data capture and analysis, and vice versa.
  • Strong organizational and communication abilities combined with a methodical and educational approach.
  • Capability to prioritize tasks effectively and maintain confidentiality of sensitive information.
  • Fluency in English and Portuguese is mandatory.
  • Experience working within diverse, multicultural teams and managing multiple files across regional contexts.
  • Ability to operate efficiently while balancing multiple priorities and collaborating across teams.
