Position Overview
The Administrative Coordinator at Kupu plays a vital role in providing comprehensive administrative and operational assistance to various programs. This role facilitates a seamless experience for applicants, members, host sites, and staff by managing recruitment, application, onboarding, compliance, and program completion activities. Ensuring confidentiality, the coordinator sustains program records and offers responsive and clear communication.
Program Goals
The Program Administration team aims to uphold accurate and timely administrative processes. These support applicants, members, host sites, and staff through recruitment, onboarding, compliance tracking, member services, and successful program completion.
Key Responsibilities
- Manage application, interview scheduling, offers, onboarding, and exit procedures for programs.
- Draft and distribute offer letters, track acceptance, and ensure completion of necessary documentation.
- Coordinate background checks and other compliance requirements according to policy and set deadlines.
- Maintain confidential and precise member records and data within Salesforce and other systems.
- Act as the main administrative contact point for applicants, members, host sites, and staff, delivering prompt and professional customer service.
- Oversee administrative resources such as communication templates and forms.
- Collaborate with program teams, payroll, host sites, and internal departments to support recruitment, onboarding, compliance, and overall operations.
- Assist with logistical support for programs, including events and activities, as necessary.
- Identify opportunities and contribute to enhancements in administrative workflows, systems, and documentation.

Qualifications
- Availability for full-time work Monday through Friday, including occasional weekends and evenings.
- Minimum high school diploma.
- At least one year of experience in administrative support, HR, program coordination, customer service, or related fields.
- Proficient with Microsoft Office suite including Excel, Word, Outlook, Office 365, and Teams.
- Excellent verbal and written communication capabilities.
- Strong organizational skills with the ability to handle multiple priorities and deadlines.
- Exceptional attention to detail and accuracy in documentation and processes.
- Effective interpersonal and customer service skills.
- Ability to maintain confidentiality and demonstrate sound judgment.
- Adaptable to dynamic and fast-paced environments.
- Capable of working collaboratively within a team setting.
Preferred Qualifications
- Associate degree or higher education credentials.
- Valid driver's license.
- Previous experience in office administration roles.
- Knowledge or experience managing onboarding or compliance procedures.
- Familiarity with Salesforce or similar CRM/database platforms.
- Experience supporting nonprofit, education, or workforce development initiatives.
