Job Overview
This role calls for a detail-focused and proactive Administrative Assistant possessing practical experience with UAE visa procedures and HR administration. The candidate should be knowledgeable about UAE employment regulations, including drafting employment contracts and offer letters, coordinating medical fitness and biometrics appointments, and aiding compliance with UAE Labour Law. The position demands excellent organizational capabilities, precise documentation handling, and the capacity to juggle numerous administrative duties in a fast-paced setting.
Key Responsibilities
- Oversee the complete process for employment visas, including new applications, renewals, cancellations, and changes in status.
- Coordinate with PROs, and utilize government portals such as MOHRE, GDRFA, ICP, plus typing centers to guarantee prompt application processing and approvals.
- Create and distribute offer letters, employment contracts, amendments, and other HR documents compliant with UAE laws.
- Arrange and manage appointments for medical fitness testing, Emirates ID biometrics, and visa stamping procedures for staff members.
- Maintain both physical and digital employee records, ensuring accurate documentation and confidentiality at all times.
- Keep track of visa expiration dates, ensuring timely renewals through proactive monitoring.
- Facilitate onboarding and offboarding operations by managing document collection and clearance processes.
- Contribute to ensuring the organization's adherence to UAE Labour Law and internal HR policies.
- Manage communications with government entities and address employee inquiries related to visas and employment matters.
- Provide general administrative assistance including scheduling, filing, data entry, and compiling reports.
- Carry out additional administrative and HR-related tasks as assigned.
Required Qualifications and Skills
- Bachelor's degree in Business Administration or a related discipline is preferred.
- Between one to two years of practical experience in administrative or HR support roles within the UAE.
- Hands-on experience with UAE visa application processes and navigating government portals.
- An understanding of UAE Labour Law and employment regulations.
- Competency in drafting contracts and official documents.
- Exceptional attention to detail and organizational abilities.
- Proficiency in MS Office applications including Word, Excel, and Outlook.
- Effective communication skills in English.
- A high level of professionalism and discretion when handling sensitive information.
- Immediate availability to start the role.
