Role Overview
The Administrative Assistant II position is pivotal in enhancing departmental operations by providing mid-tier administrative support. Key duties include document preparation, communication management, travel arrangement, and aiding project execution. The role requires a proactive and detail-focused individual capable of independent work, confidentiality, and professionalism. The position supports significant projects related to the U.S. Navy and national security and operates remotely.
Key Responsibilities
- Generate, revise, and finalize detailed reports, proposals, presentations, and correspondence while maintaining high standards of accuracy and professionalism.
- Compose and proofread communications in line with organizational standards.
- Organize and maintain departmental documents and records in compliance with retention policies.
- Create templates, standardized forms, and documents for departmental consistency.
- Manage incoming calls and emails by screening, prioritizing, and appropriately addressing or forwarding inquiries.
- Serve as a communication bridge between the department and various stakeholders.
- Coordinate scheduling and logistics for meetings, including agenda preparation, minute taking, and follow-up dissemination.
- Plan and book complex travel arrangements including transportation and lodging, adhering to company policies.
- Prepare and audit expense reports ensuring precise and prompt submission to finance.
- Support project workflows by tracking timelines, coordinating materials, and facilitating team collaboration.
- Oversee office supply inventories, ensuring necessary resources are available within budget.
- Assist onboarding processes by preparing materials and arranging training sessions for new hires.
- Offer backup administrative support and carry out additional tasks as designated by management.
Qualifications
- High school diploma or equivalent required; some college coursework is advantageous.
- At least 2 years experience in administrative or clerical support.
- Strong proficiency with Microsoft Office applications (Word, Excel, PowerPoint, Outlook).
- Exceptional organizational and time management capabilities.
- Effective verbal and written communication skills.
- Self-motivated with the ability to work independently and apply sound judgment.
- Capacity to manage multiple priorities efficiently.
Preferred qualifications include familiarity with project management platforms, travel and expense coordination experience, interpersonal communication strength, and knowledge of office operational procedures.
