Role Overview
The Workplace Ambassador (Back-of-House) functions as a vital operational role ensuring the smooth daily execution of facilities support and workplace services within BCG Singapore. This position, supplanting the former Facilities Coordinator role, concentrates on operational excellence behind the scenes, including vendor coordination, quality assurance, and maintaining workplace efficiency. It works closely with the broader facilities and experience team to uphold exceptional standards in workplace operation.
Key Responsibilities
- Oversee daily operations of back-of-house (BOH) areas for designated floor levels.
- Perform detailed physical inspections of BOH zones, including storage, pantries, and service areas to maintain cleanliness and order.
- Manage and update digital records and SharePoint trackers related to BOH activities.
- Collaborate with cleaning and maintenance personnel to uphold compliance with quality criteria.
- Administer locker assignments, maintenance, and support for users.
- Conduct quality inspections of workplace office environments.
- Ensure BOH spaces are stocked, organized, and adhere to safety standards.
- Coordinate operations with multiple vendors: three manpower vendors, two specialized service vendors, and four managing agent vendors.
- Handle purchase order processing, invoice reconciliation, and vendor billing management.
- Monitor vendor performance, escalating issues as necessary, and supervise vendor activities onsite.
- Administer full cycle office supplies management from inventory control to procurement and cost optimization.
- Support event logistics with BOH preparation, vendor coordination, purchase order handling, catering, and post-event restoration.
- Serve as the liaison with the Building Management Office (BMO) to coordinate facility requests, permits, approvals, and access control matters.
- Assist in facilities management tasks including work order coordination, preventive maintenance tracking, meeting room setup backup, courier coordination, and visitor management support.
- Manage pantry and café area operations, vendor liaison, supply monitoring, and service quality improvements.
- Perform ongoing quality assurance inspections, documentation, and follow-up for BOH areas and services, driving continuous improvement.
- Prepare regular reports on BOH operations, vendor performance, office supplies, quality inspections, event support, locker management, and user request resolution.
Candidate Profile
- Possess 2 to 3 years of experience in facilities operations, workplace services, or the hospitality industry, ideally within corporate office settings.
- Experience in vendor coordination, supply chain, office services, inventory control, or event support is highly valued.
- Proficient in Microsoft Office Suite and collaborative platforms such as SharePoint.
- Familiarity with work order management systems and basic building/facilities operations.
- Knowledge of procurement procedures, inventory processes, budget tracking, and invoice management.
- Exemplary organization and meticulous attention to detail.
- Independent, proactive, and service-oriented attitude with flexibility to adapt to changing priorities.
- Strong problem-solving skills and a dependable, professional presence.
- Effective verbal and written communication; skilled in stakeholder engagement and conflict resolution.
