Role Overview
We are hiring a seasoned Travel Operations Specialist with solid experience in travel operations, hotel or hospitality reservations, or upscale travel booking support. This position suits someone who is highly organized, comfortable balancing several priorities at once, and committed to keeping operations running smoothly.
You will support a client in the premium travel and lifestyle services space. Their work focuses on arranging complex journeys, concierge support, and personalized experiences for clients around the world. The team is dedicated to delivering smooth service and exceptional precision in every part of the client journey.
Please note that this is not a standard 9-to-5 position. Because travel work can be time-sensitive and dynamic, some schedule flexibility may be needed to support active trips and urgent operational requirements.
The compensation has not yet been set. Candidates are asked to share their expected salary in the application form so it can be reviewed during discussions.
Travel Operations
- Arrange and oversee air bookings using GDS tools such as Amadeus, Galileo, or Sabre.
- Manage ticketing tasks including fare checks, exchanges, reissues, cancellations, and itinerary updates.
- Coordinate bookings for hotels, villas, ground transportation, dining, and curated experiences.
- Compare supplier availability, pricing, and travel alternatives to identify the best option.
- Track upcoming departures and spot potential issues early so they do not affect the client experience.
Client and Trip Support
- Create and send out travel documents, booking confirmations, vouchers, and full itinerary packs.
- Communicate with clients when needed about confirmations, documents, and trip-related details.
- Provide assistance to travelers during schedule disruptions, changes, and other operational situations.
- Help with travel document preparation and visa research.
Administrative and Financial Support
- Prepare client invoices and monitor billing activity.
- Reconcile supplier payments and commission details.
- Keep booking data and records current and accurately maintained in CRM tools.
- Assist with reimbursements and other travel-related accounting tasks.
- Ensure all documentation remains organized, correct, and updated.
Supplier Coordination
- Develop and maintain strong working relationships with travel suppliers and service partners.
- Handle confirmations, payments, special requests, and follow-up communication with suppliers.
- Keep supplier databases and reservation records accurate and well maintained.
Schedule
- This is a full-time remote role.
- Workdays are Monday through Friday.
- Core working hours follow US Eastern Time business hours.
- Flexibility is required during active travel periods and urgent operational situations.
Benefits

Candidate Profile
The ideal applicant is process-driven, highly detail-oriented, and able to stay accurate under pressure. You should be proactive, dependable, discreet, and comfortable working in a fast-moving environment where priorities can change quickly. Strong teamwork and ownership of assigned tasks are important.
Experience and Technical Requirements
- At least 2 years of experience in travel agency operations, hospitality reservations, travel coordination, or a similar operational role.
- Strong organizational ability and excellent attention to detail.
- Capability to manage several bookings and deadlines at the same time.
- Very good written and spoken English communication skills.
- Experience with invoicing, payment monitoring, and general administrative work.
- Working knowledge of Microsoft Office, especially Outlook, Excel, and Word.
- Experience using CRM software.
- Availability to work during US Eastern Time business hours.
Preferred Experience
- Hands-on experience with Amadeus, Galileo, or Sabre.
- Exposure to Zoho CRM, Axus, Travefy, Slack, or similar tools.
- Background supporting premium or luxury travel services.
- Experience in bookkeeping, accounting, or travel finance.
- Additional language abilities are considered an advantage.
