About the Role
TLI Group is currently looking to fill the position of Technical Document Controller within its Renewables division. The successful candidate will oversee the management, control, distribution, tracking, and archiving of project-related paperwork throughout various project phases including design, procurement, construction, and handover. Serving as a central hub for project information, this role ensures all documentation remains accurate, traceable, secure, properly reviewed and approved, and easily accessible to all relevant internal and external parties.
Supporting project teams by administering document control systems, registers, and workflows, the controller will align with company policies, client expectations, and industry best practices to promote effective project completion and seamless handover.
Key Responsibilities
- Oversee documentation throughout the project lifecycle from creation to archiving and disposal.
- Ensure all documentation follows proper naming, numbering, versioning, and status protocols per company guidelines.
- Create and update Master Document Registers (MDRs) for assigned projects regularly.
- Maintain precise records of document revisions, statuses, approvals, and issuance history.
- Manage SharePoint and other Electronic Document Management Systems (EDMS) to support project teams.
- Handle document metadata, access permissions, version history, and archiving structures to uphold document integrity and accessibility.
- Coordinate document review and approval workflows according to the Document Distribution Matrix (DDM).
- Track review progress and follow up on pending approvals or actions.
- Prepare and manage project transmittals, including register and submission tracking.
- Maintain Request for Information (RFI) logs and response tracking mechanisms.
- Administer design review and client comment logs, ensuring completion of associated actions.
- Provide accurate document control information and reports to Project Managers, Engineers, Designers, Clients, Suppliers, and Subcontractors.
- Compile regular document control reports and dashboards to assist project governance.
- Support the management of Safety Files, Operation & Maintenance Manuals, As-Built records, and other handover documents.
- Coordinate project closeout and ensure proper archiving in agreement with company retention policies.
- Offer guidance to project teams on document control practices and system usage.
- Identify and suggest improvements to document control systems and workflows.
Qualifications and Experience
- A minimum of 3 to 5 years’ experience in document control or project administration roles.
- Strong proficiency with Microsoft Office applications including Word, PowerPoint, Excel, and Outlook.
- Experience with SharePoint and other electronic document management platforms.
- Relevant qualifications or certifications in Document Control, Project Administration, Business Administration, or related fields are preferred.
- Additional qualifications in Engineering, Construction, Design, Quality Management, or Project Management are beneficial.
Knowledge and Skills
- Well-versed in document control principles and document lifecycle management.
- Familiarity with Master Document Register administration and Document Distribution Matrix processes.
- Experience with document revision, status control, retention, and archive management.
- Competency in managing RFIs, transmittals, and client comment processes.
- Understanding of Design & Build project environments.
- Knowledge of utility infrastructure documentation requirements (e.g., EirGrid, ESB) is advantageous.
- Awareness of Safety File and O&M Manual compilation is desirable.
- Familiarity with ISO 9001 Quality Management Systems and Common Data Environments (CDEs) is an asset.
