Job description
Role Overview
The Senior Admin Cum Draughtsman will serve as the primary liaison for End of Life (EOL) units, coordinating with vendors and clients to obtain and prepare quotations. They will also provide reports and follow guidance from the Facilities Manager (FM) and EOL engineer concerning EOL maintenance units. The role involves supporting the FM and the facilities team with office procedures and other assigned tasks, ensuring compliance with company policies and client requirements.
Key Responsibilities
- Enter precise asset information into the Computer-Aided Facility Management (CAFM) system for accurate data keeping and reporting, adhering to company protocols.
- Assist the maintenance team by managing planned preventive maintenance (PPM) work orders according to scheduled programs, and support the closing of reactive and scheduled job requests.
- Automatically generate reports on the status of PPM and reactive maintenance (RM) activities.
- Complete work schedules and coordinate with relevant personnel to ensure timely closure of tasks in the system.
- Guarantee that service levels for all FM disciplines are met concerning quotations and purchase requests.
- Use the CAFM system to process weekly invoices.
- Continuously review incoming work requests on CAFM, ensuring details are sufficient for effective execution.
- Maintain an updated asset register by recording additions, deletions, and modifications, especially for new assets.
- Participate actively in the CAFM users group, addressing system issues and contributing ideas for system development.
- Support the FM by analyzing assets to identify those frequently failing or incurring disproportionate costs, recommending life cycle replacements.
- Organize work orders by skill and location to optimize service delivery and meet KPIs and SLA timelines.
- Examine contract documents, drawings, and specifications to spot areas requiring special attention and report these findings to the Project Manager.
- Review subcontractor drawings, design calculations, and technical specifications during project execution.
- Prioritize external client communication by responding promptly to emails and queries.
- Innovate design methods to increase efficiency and save time.
- Stay updated with NFPA and local authority codes relevant to departmental references.
- Utilize the latest software versions to enhance turnaround times.
- Prepare designs compliant with Civil Defence, NFPA codes, and DEWA requirements for various projects.
Qualifications and Experience
- A Bachelor’s degree is mandatory; a postgraduate degree is preferred.
- Relevant professional certification is an advantage.
- Required work experience ranges from 3 to 5 years in a similar role.
Skills and Competencies
- Comprehensive understanding of building and engineering terminology and concepts, including familiarity with relevant trades.
- Proficiency with computers, including experience using CAFM and maintenance management software.
- Strong numerical skills, customer service orientation, and effective problem-solving abilities.
- High ethical standards, integrity, and a focus on achieving results.
- Advanced English communication skills, both spoken and written; additional language skills are a plus.
- Capability to resolve conflicts and lead a multidisciplinary team efficiently.
