Job Overview
The secretary will efficiently implement instructions from their direct supervisor to support all office-related activities. This role involves meticulous coordination of meetings, appointments, and visits both internally and with external partners, ensuring smooth logistical arrangements.
Key Responsibilities
- Execute directives from the supervisor connected to office duties.
- Arrange and manage the supervisor's meetings, appointments, and visits in partnership with relevant departments.
- Collaborate with institutional units and outside entities to provide required logistics, documentation, and data.
- Review incoming correspondence, document meeting minutes and reports, and oversee their subsequent execution.
- Develop and maintain comprehensive filing systems both electronic and physical to archive documents, records, and communications linked to the supervisor.
- Prepare, track, and distribute meeting minutes and official correspondence issued by the supervisor responsibly.
- Manage mail flow ensuring prompt distribution to appropriate staff members.
- Provide necessary administrative and logistical assistance in cooperation with related organizational teams.
- Carry out additional office-related tasks as assigned by the supervisor.
Qualifications
- High School diploma (3 years), Diploma (2 years), or an equivalent certificate.
- Nationality requirement: UAE nationals only.
