Role Responsibilities
- Oversee front desk management including visitor logging, safety induction procedures, and adherence to security protocols.
- Manage meeting room reservations, incoming telephone calls, courier handling, and general reception duties.
- Coordinate the procurement and allocation of office supplies and stationery.
- Handle issuance and replacement processes for employee identification cards.
- Administer vendor registration procedures, quotations, purchase requests, and purchase order creation.
- Maintain vendor compliance documentation such as In-Country Value (ICV), trade licenses, and VAT records.
- Process invoices using internal platforms like DPROCURE and CONCUR while ensuring compliance with company policies.
- Organize corporate insurance requirements including vehicle, personnel, and project-related coverage.
- Facilitate employee travel logistics including visa arrangements, flight bookings, accommodation, and local transportation.
- Provide administrative assistance relating to employee benefits, insurance matters, and mobilization/demobilization activities.
- Support Administration and Human Resources through document management, reports, and operational coordination.
- Ensure seamless continuation of administrative and operational tasks within YEU Dubai and YUAE Sales Departments during staff leave periods by managing inquiries, communication, and coordination.
Qualifications and Experience
- Possession of a University Degree.
- At least one to two years of experience in roles such as receptionist, front desk, or administrative support.
- Proficient in visitor management, telephone operations, meeting room coordination, and office administrative tasks.
- Familiarity with Microsoft Office suite including Word, Excel, Outlook, and PowerPoint.
- Strong command of both written and spoken English; skills in Arabic considered a plus.
- Prior work experience in multicultural or corporate settings is preferred.
