About the Role
The Project Manager acts as the central coordinator ensuring seamless progress of various projects across the agency. This position works closely with teams from Account Service, Creative, Media, Production, and clients, maintaining project timelines while managing communication and detailed organization to prevent any lapses.
This role requires residence within Central Florida and reports directly to the VP of Account Service. The hybrid work approach involves remote work on Mondays and Tuesdays, with on-site presence Wednesday through Friday at the Orlando, FL office.
Key Responsibilities
- Oversee and coordinate project schedules, timelines, and allocate internal resources to keep projects on course.
- Initiate, manage, and guide projects from their start to final delivery phase.
- Provide timely updates on project progress, communicate client feedback, and outline next steps to internal teams and clients.
- Organize meetings, calls, and presentations, ensuring documentation of notes and follow-up action points.
- Prepare and manage project status reports.
- Foster interdepartmental collaboration to ensure fluid project movement and transparent communication.
- Participate in production and status meetings, aiding in team accountability concerning deadlines and deliverables.
- Review project outputs thoroughly for accuracy and completeness before client submission.
- Assist Account teams during client reviews, approval processes, and revision cycles.
- Support project-related financial tasks, including estimates, purchase orders, vendor invoices, and licensed asset acquisitions.
- Maintain organized documentation, creative assets, and approvals via Wrike and agency digital systems.
- Identify foreseeable obstacles early and proactively act to maintain project momentum.
Qualifications and Characteristics
- Preferably hold a Bachelor's degree in Advertising, Marketing, Communications, or a related discipline.
- At least 1 year of experience in project management, account service, marketing, or advertising is preferred.
- Exceptional organizational skills with a meticulous eye for detail.
- Self-motivated and proactive, with strong problem-solving abilities.
- Adept at juggling multiple projects and adapting to shifting priorities.
- Strong verbal and written communication skills suitable for client correspondence and meetings.
- Confidence in contributing and guiding discussions during meetings.
- Collaborative mindset with a personable, team-focused attitude.
- Familiarity with project management tools, Wrike experience is a positive advantage.
- Basic understanding of branding, marketing, advertising, and digital media concepts is preferred.
- Able to function effectively in a hybrid office environment.
