Role Overview

We are currently seeking a Project Management Administrator / Project Controls Administrator to join our Water team in New Zealand, specifically at our Christchurch office. Our water portfolio includes management of drinking water, wastewater, stormwater, and groundwater as shared resources, along with projects related to dams and hydropower focusing on resilience and renewable energy solutions. This role involves supporting multiple Project Managers to plan, coordinate, and oversee various projects throughout their lifecycle, including assuming responsibility for specific task management activities within individual projects and assisting senior personnel with portfolio-level project coordination.

Key Responsibilities

  • Perform administrative duties to support project activities.
  • Assist Campaign and Proposal teams in preparing proposal materials.
  • Contribute to the creation of Project Execution Plans and Health and Safety Plans.
  • Apply established project control procedures to manage scope, budgets, timelines, profitability, and risk.
  • Develop baseline project schedules in collaboration with team members.
  • Monitor scope changes, schedule adherence, and cost alignment during project phases.
  • Track resource allocation and personnel consistency.
  • Evaluate performance against schedule baselines and help control budgets through accurate forecasting.
  • Identify variances and emerging trends.
  • Support project teams with monthly schedule updates, financial forecasting, invoicing, and progress reporting to internal and external stakeholders.
  • Ensure high-quality deliverables by maintaining accurate reports, efficient document control, and meeting project deadlines.

Candidate Requirements

  • Proficient in Microsoft Office applications; familiarity with project management tools such as Microsoft Project, Primavera, Oracle, or SAP is advantageous but not mandatory.
  • Strong financial literacy and ability to interpret financial data.
  • Willingness and ability to quickly learn Stantec’s project management and financial systems and processes.
  • Self-motivated, highly organized, and process-oriented with the capacity to manage multiple tasks and maintain a focus on outcomes.
  • Excellent interpersonal skills, capable of effective communication across various levels to garner cooperation and maintain diplomacy in complex situations.
  • Detail-oriented with sound administrative skills, including clear written and verbal communication.
  • Proactive and responsible, able to take ownership of assigned duties to fulfill project needs and efficiently balance multiple projects and priorities daily.

Additional Information
