Overview

Under the supervision of the Project Manager, the Project Coordinator will collaborate closely with Project Managers and Superintendents to manage the diverse requirements of construction projects. Responsibilities include overseeing safety protocols, maintaining project quality, managing administrative tasks, scheduling, cost control, and establishing effective communication with clients, subcontractors, and craftspeople. Preference is given to candidates with experience in Stations/MECP or Stations/Architectural Finishes. This role is located in Toronto, ON.

Key Responsibilities

  • Assist in the preparation and implementation of comprehensive work plans and schedules.
  • Organize and maintain project documentation both physically and electronically, including management of document databases and file sharing platforms.
  • Keep project documents accurate and current, covering drawings, plans, submittals, document logs, and purchase orders.
  • Review progress payments and certificates submitted by subcontractors and suppliers.
  • Serve as liaison between architects, consulting engineers, subcontractors, and suppliers concerning contracts, change notices, design updates, RFIs, and RFQs.
  • Prepare, coordinate, and engage in meetings with project teams and external stakeholders; document and distribute detailed meeting minutes promptly.
  • Assist in the final handover of project documentation to clients at project completion.
  • Coordinate timely resolution of project deficiencies.
  • Maintain clear project awareness to keep the Project Manager and team informed of project progress and potential challenges.
  • Provide additional administrative and technical support as required by the project team.

Qualifications and Experience

  • Completion of a post-secondary degree or diploma in a construction-related discipline.
  • At least three years of experience in a project support capacity, ideally within a general contracting or subcontracting environment.
  • Proven experience managing commercial and/or institutional construction projects from inception to completion.
  • Experience in Stations/MECP or Stations/Architectural Finishes is highly advantageous.
  • Strong team collaboration skills and ability to work effectively within diverse groups.
  • Competence in reading and interpreting contracts, specifications, drawings, and other construction-related documents.
  • Proficiency in Microsoft Office, especially MS Project; familiarity with SharePoint is an asset.
  • Excellent organizational and time management skills to handle increasing workloads and prioritize tasks efficiently.
  • Demonstrated client service orientation to build and maintain strong relationships with customers.
  • Self-motivated with eagerness to learn and take on challenges.
