Role Overview
The Project Assistant will offer crucial administrative support to project management teams overseeing construction or other departmental projects. This position may serve multiple managers and lead administrators as needed. The role is fully remote, with detailed location expectations discussed during interviews.
Primary Responsibilities
- Coordinate travel logistics for the team.
- Manage office or jobsite facility administration if working onsite.
- Maintain and replenish office supplies and materials inventory.
- Organize and sustain a consistent filing system encompassing safety documents, daily construction logs, equipment tracking, insurance and bonding records, commitment files, and job documentation.
- Generate and handle commitment paperwork such as purchase orders, subcontracts, rental contracts, and change orders.
- Monitor returned and signed commitment documents.
- Authorize invoice coding for approvals.
- Track employee hours using sign-in sheets and the Exaktime system.
- Execute job closeout tasks, including archiving plans and project files.
- Fulfill additional assignments as directed.
Required Qualifications
- High School Diploma or an equivalent qualification.
- Completion of two years of business or secretarial education, or equivalent combined training and professional experience.
- At least two years of secretarial or clerical work beyond formal training.
- Typing speed of minimum 45 words per minute with accuracy.
- Proficient in word processing and spreadsheet applications.
- Familiarity with common office procedures and equipment.
- Strong verbal English communication skills, including professional telephone etiquette.
- Effective written communication skills, emphasizing business writing.
- Demonstrated reliability, dependability, and adaptability.

Compensation
The hourly pay rate ranges from $23.78 to $29.72.
