Overview
We are seeking a highly skilled Project Administration Manager to oversee all administrative activities related to large-scale Oil & Gas EPC (Engineering, Procurement, and Construction) projects in Saudi Arabia. This role involves ensuring smooth administrative operations, document control, manpower coordination, and compliance with company and client policies throughout the entire project duration.
Key Responsibilities
- Oversee and manage all project administration tasks at the project site to facilitate seamless execution.
- Collaborate effectively with Project Managers, Construction Managers, and department leaders to support project delivery.
- Lead and supervise administrative teams including document controllers, timekeepers, and camp administration staff.
- Maintain and control project documentation, reports, correspondence, and records with accuracy and confidentiality.
- Coordinate logistics related to employee mobilization, onboarding procedures, accommodation arrangements, transportation, and site operations.
- Track manpower details including attendance, leave management, and timesheet validations.
- Act as liaison among HR, Procurement, Finance departments, and client representatives concerning administrative issues.
- Ensure full compliance with organizational policies, client requirements, and relevant Saudi labor laws.
- Generate regular weekly and monthly administrative reports for project management review.
- Support audits, inspections, and prepare required documentation for project closure.
- Maintain strict confidentiality concerning sensitive project and personnel information.
Qualification and Experience
- Bachelor’s degree in Business Administration, Management, or a closely related field.
- Over 10 years of substantial experience in project administration within the Oil & Gas EPC sector.
- Preferably more than 5 years of professional exposure within the Gulf region, specifically Saudi Arabia.
- Strong understanding of project admin functions, manpower management, documentation control, and site operational procedures.
- Proven experience working alongside diverse multinational project teams.
- Excellent communication, organizational, and leadership qualities.
- Proficiency in Microsoft Office applications as well as ERP and document management platforms.
- Capability to manage several priorities efficiently in a demanding project environment.
Preferred Background
- Experience associated with major Oil & Gas entities such as Aramco, SABIC, ADNOC, or similar EPC projects.
- In-depth knowledge of Saudi labor regulations and expertise in project mobilization protocols.
