About the Role

Kühne Logistics University (KLU) is seeking a motivated Operations Assistant (gender neutral) to join the Executive Education Operations Hub and provide vital support to the Program Management team. This is a full-time contract position (40 hours per week), initially limited to two years with a strong expectation for extension into a long-term role. The position focuses on ensuring smooth operational execution and a high-quality experience for executive education participants.

Responsibilities

  • Manage and coordinate the delivery of executive education programs including event organization, participant coordination, scheduling, and provide on-site assistance during program delivery such as MBA weekend sessions (approximately monthly) with compensatory time off.
  • Oversee logistical arrangements encompassing room reservations, catering, travel planning, and other operational necessities to guarantee seamless experiences for participants.
  • Perform administrative duties like invoicing, contract coordination with external collaborators, and maintain internal documentation.
  • Update and maintain program-related systems and data (e.g., CRM platforms, learning management systems, project tracking tools), ensuring data accuracy and efficient operations.
  • Collaborate closely with Program Management, Faculty, Marketing, Accounting, and other stakeholders to prepare program materials, assist with website updates, and support all program-related activities’ smooth execution.
