Role Overview
The Office and Operations Coordinator role supports the company’s daily administrative and operational activities, converting complex recurring tasks into efficient and repeatable systems. This involves managing office logistics alongside broader operational responsibilities. As a versatile generalist problem solver, you will serve as a vital support across multiple domains with opportunities to expand your operational ownership as the company grows.
Key Responsibilities
- Manage and streamline ongoing administrative and operational tasks by developing self-sustaining systems.
- Create and uphold simple processes on platforms like Monday.com, Slack, Google Workspace, and Linear to ensure seamless workflows.
- Oversee maintenance of the Calgary office including organizing storage, replenishing supplies, and general upkeep.
- Identify and tackle operational gaps that lack ownership.
- Utilize AI-driven tools to speed up documentation, scheduling, and routine administrative work, focusing human effort where it matters most.
- Gradually assume responsibility for additional operational areas with goals toward broader operational leadership.
- Collaborate directly with the Chief of Staff to adapt to shifting company priorities and support emerging needs.
Required Qualifications and Attributes
- 2 to 5 years’ experience in operations, executive support, or a generalist role with a focus on process ownership rather than mere task completion.
- Excellent systems thinking with the ability to transform complex recurrent tasks into automated workflows using tools like Monday.com, Slack, and Google Workspace.
- Adaptable generalist mindset welcoming diversity in tasks and resisting narrow specialization.
- Experience managing physical office logistics such as inventory, space organization, and general maintenance as part of a wider role.
- Proactive problem solver who acts independently without explicit guidance.
- Comfortable employing AI technologies to enhance efficiency in administrative processes.
Preferred Experience
- Familiarity with Monday.com or similar platforms for issue tracking and automation to support operations and cross-team collaboration.
- Background in startups or early-stage companies where roles evolve rapidly and responsibility grows.
- Demonstrated history of being the key integrator or indispensable support figure within previous organizations.
