Role Overview
The Office Administrator plays a crucial role in maintaining the efficient daily functioning of the office by handling various administrative duties, assisting staff members, coordinating office activities, and keeping the workplace organized and functional.
Primary Responsibilities
- Oversee daily administrative operations and office management tasks.
- Handle incoming phone calls, respond to emails, and welcome visitors in a professional manner.
- Arrange and manage appointments, meetings, and office calendars.
- Maintain and organize office documents, files, and databases systematically.
- Manage procurement and inventory of office supplies and equipment.
- Draft reports, official correspondence, presentations, and necessary documentation.
- Coordinate travel plans and logistical arrangements for meetings.
- Handle invoicing, expense reports, and perform basic bookkeeping activities.
- Support onboarding processes and update employee records.
- Ensure proper functioning of office equipment and schedule maintenance as required.
- Assist management with administrative projects and additional assigned tasks.
- Maintain strict confidentiality regarding sensitive company information.
Required Qualifications
- Graduation degree in any discipline.
- Demonstrated experience in administration or office support roles.
- Competent in Microsoft Office applications including Word, Excel, Outlook, and PowerPoint.
- Effective written and oral communication skills.
- Strong organizational capabilities and efficient time management.
- Ability to handle multiple tasks simultaneously and manage priorities.
- Detail-oriented with problem-solving skills.
