About the Role
FACE Toronto is seeking a Medical Administrator to support a premier plastic surgery clinic known for high standards of patient care and strong clinical results. In this role, you will help create a smooth, professional, and welcoming experience for patients while working closely with surgeons, nurses, and the administrative team.
The position is based on-site in Toronto and is full-time. It combines front-desk support, appointment coordination, administrative handling, and a customer service approach suited to a fast-paced medical environment.
What You’ll Do
- Welcome patients and provide friendly, polished front-desk support throughout their visit.
- Handle a busy appointment calendar, including scheduling and confirmation of visits.
- Manage incoming phone calls and emails, and respond to general questions in a timely, professional manner.
- Keep patient files, intake forms, and other records accurate, organized, and confidential.
- Process payments, deposits, and billing-related tasks carefully and discreetly.
- Support day-to-day administrative work such as handling mail, deliveries, faxing, and preparing charts.
- Follow patient privacy requirements and comply with clinic and regulatory procedures.
What We’re Looking For
- At least 2 years of experience in a medical office or in a high-end customer service setting.
- Strong verbal communication, telephone manners, and interpersonal skills.
- Comfort with managing a busy schedule and balancing multiple priorities.
- Working knowledge of medical terminology and insurance processes is an advantage.
- Experience using office applications and medical management software.
- Excellent organization, multitasking, and communication abilities.

This is a full-time, on-site role reporting to the Director of Operations.
