Role summary
This hybrid role is based at the Head Office in Covent Garden, London. The HR Administrator & Office Coordinator supports the Shared Resources team and reports to the Head of HR & People. The position focuses on keeping HR administration and office operations well organised, accurate and responsive.
It is a strong fit for someone early in their career who is keen to learn, dependable, and comfortable handling a varied admin workload. The role combines HR coordination, office support, diary and meeting logistics, document control and broader administrative assistance across the business as the function develops.
Administrative and coordination support
- Keep business files, records and documentation well organised, current and easy to retrieve.
- Prepare, format and update presentations, reports and internal communications when needed.
- Maintain trackers and planning schedules to support delivery of business priorities.
- Help coordinate group meetings, workshops and cross-functional initiatives.
- Gather information, complete basic research and assist with data collection for decision-making.
- Support the creation and upkeep of templates, process documents and operating procedures across the group.
- Provide diary and administrative support to the COO, Head of HR & People and other senior leaders as required.
HR administration
- Monitor and manage shared HR inboxes, ensuring messages are acknowledged, prioritised and resolved promptly.
- Maintain accurate HR files and document systems, both digital and physical, with correct version control.
- Assist with updating HR policies, templates and process documents to keep them clear and consistent.
- Support employee lifecycle administration such as joining paperwork, leaving paperwork, reference checks, right-to-work documentation support, and offer or contract letters where needed.
- Prepare packs, agendas, notes and action logs for HR meetings and track follow-up items through to completion.
- Support HR reporting and routine data administration with a strong focus on accuracy.
- Handle confidential information appropriately and in line with GDPR and company standards.
Office coordination and business support
- Serve as a central contact for office administration and build effective relationships with internal teams and external suppliers.
- Manage office consumables and ordering to ensure the workplace remains fully equipped.
- Oversee day-to-day office logistics such as meeting rooms, visitor arrangements and basic facilities coordination.
- Support meeting coordination, including scheduling, room reservations and distribution of the right information to attendees.
- Keep key contact details and stakeholder information current.
Ways of working and improvement
- Look for opportunities to simplify admin processes and improve consistency across HR and office coordination.
- Create and maintain trackers and straightforward workflows so tasks stay on track and deadlines are met.
- Assist with ad hoc administration and coordination tasks as the HR function and wider support structure continue to evolve.
Experience and skills
The ideal candidate will bring strong admin capability, excellent written standards and a careful eye for detail. You should communicate clearly and professionally, stay organised when balancing multiple tasks, and be comfortable working with confidential information. Confidence using Microsoft Office and document management systems is important, along with a proactive attitude and willingness to learn.
Previous experience in HR administration, office coordination or a similar support role would be an advantage, as would exposure to diary management for senior stakeholders. Familiarity with HR documents such as policies, contracts and letters, plus experience improving admin processes through trackers, templates and simple workflows, would also be helpful.

Pay and benefits
The salary for this position is £30,000 to £35,000 per annum.
