Overview
The Finance & HR Specialist plays a pivotal role within the Business Operations team, managing daily activities related to financial processing, payroll, and human resources functions. This position ensures accuracy and efficiency in tasks such as invoicing, billing oversight, employee and contractor administration, payroll coordination, and HR operations management. Collaboration with external partners is essential to maintain smooth financial workflows and to support the full employee and contractor lifecycle from hiring through exit.
Key Responsibilities
- Manage invoicing and billing quality checks to confirm completeness and correctness before submission
- Analyze timesheets, pay and bill rates, markups, expenses, and billing information for errors
- Work with internal teams to address and correct invoice issues and billing discrepancies
- Act as the operational liaison for the company's external accounting and finance collaborators
- Assist with payroll processing tasks and help conduct payroll audits
- Provide support for financial report generation requests
- Maintain accurate financial records, reports, and supporting documentation
- Handle processing and tracking of expense reimbursements for employees and contractors
- Support audits related to workers' compensation, insurance, and client requirements
- Lead accounts receivable follow-up and collection efforts
- Support payroll quality control reviews and ensure proper collection and validation of timekeeping records
- Manage payroll changes, including onboarding, terminations, pay adjustments, deductions, and garnishments
- Serve as the contact point for payroll-related questions from staff and contractors
- Assist with internal payroll function implementation and administration
- Coordinate employee and contractor onboarding and offboarding procedures
- Administer background checks, employment verifications, and onboarding paperwork
- Maintain personnel files and HR documentation complying with policies and regulations
- Manage benefits administration, including enrollments, changes, and qualifying life event processing
- Support communications and activities for benefits open enrollment
- Monitor policy acknowledgments, training completions, and compliance requirements
- Assist with unemployment claims and workers’ compensation documentation management
- Maintain accuracy of HRIS data and employee records
- Contribute to development and continuous improvement of HR programs, policies, and operations
- Organize employee engagement, recognition, and workplace culture initiatives
- Support special projects and strategic plans assigned by leadership
- Perform additional tasks as required
Qualifications and Experience
- Associate or Bachelor’s degree in Business Administration, Human Resources, Accounting, Finance, or a comparable field preferred
- Minimum of three years’ experience in accounting, payroll, HR administration, business operations, or related areas
- Proven experience managing invoicing, billing, payroll, accounts payable/receivable, or financial administrative functions
- Familiarity with employee onboarding, benefits administration, and HR recordkeeping
- Experience with HRIS, payroll, accounting, or ERP software systems
- Competency with QuickBooks accounting software
- Preferably experienced in supporting multi-state employees and contractors
- Background in staffing, professional services, consulting, or project-based businesses is advantageous
