Role Overview
The Executive Officer performs a vital role offering secretarial and administrative support directly to the CEO. This position ensures professional coordination and assistance to the CEO, senior executives, and operational committees. The role requires managing confidential matters with discretion and the ability to work effectively under pressure. The position is part-time, totaling 30.4 hours weekly across four days, scheduled in agreement with the CEO.
Key Responsibilities
- Support the Executive Administrator by managing the CEO’s appointments and organizing meetings daily.
- Coordinate, prepare, and distribute agendas, documentation, and minutes for meetings and operational committees.
- Assist the CEO with special projects as needed.
- Draft confidential correspondence on behalf of the CEO and executive team.
- Provide coverage for the Executive Administrator during absences, which may include occasional out-of-hours work.
- Assist in handling freedom of information requests.
Required Skills and Attributes
- Excellent written and verbal communication skills capable of producing diverse quality documents for multiple audiences.
- Intermediate to advanced proficiency in Microsoft Office, including Word, Excel, and PowerPoint.
- Willingness and flexibility to work beyond typical business hours when required.
- Knowledge and experience in corporate governance, specifically preparing Board agendas, papers, and minutes.
- Previous experience working as an Executive Assistant, Personal Assistant, or Executive Officer.
- Strong attention to detail and accuracy, with the ability to work independently.
- Excellent organisational skills, capable of prioritizing tasks to meet deadlines effectively.
- Proven ability to maintain confidentiality in all matters.
- Ability to build and sustain positive working relationships with Board members, management, staff, and external stakeholders.
