About the Role

This is an opportunity to join a growing construction business as an Executive Assistant supporting the President and Vice President. The position calls for someone highly organized, comfortable with technology, and able to make sound decisions while working independently in a busy, project-centered setting.

In this role, you will act as a true extension of executive leadership by keeping priorities organized, coordinating schedules, managing office operations, and reviewing large amounts of information so the leadership team can stay focused on construction projects and business results. Responsibilities

  • Coordinate and keep aligned the calendars of the President and Vice President, including meetings, site visits, and travel arrangements.
  • Organize executive priorities and deadlines, keeping action items and follow-ups updated in Asana.
  • Monitor due dates, check in with internal teams, and help ensure important items are completed on schedule.
  • Carefully review and interpret a high volume of materials such as emails, reports, schedules, budgets, proposals, and contracts.
  • Distill important points and decisions into clear summaries, often sharing them verbally over the phone while the President is away at job sites.
  • Arrange office supply purchases and coordinate services such as cleaning staff and outside vendors.
  • Oversee ordering and coordination of office furniture and equipment when needed.
  • Draft executive summaries, tracking tools, and reports using Microsoft Office applications including Outlook, Excel, Word, and PowerPoint.
